1. About this policy

This Privacy Policy explains how Aetarix collects, uses, stores, and shares personal information when you visit aetarix.com, contact us, or submit a project enquiry.

This policy applies to the public Aetarix website. It does not automatically apply to client software projects, internal systems, or the private Aetarix team portal. Privacy and data-handling requirements for client projects may be addressed separately in the relevant agreement.

2. Information you provide

When you submit a project enquiry, we may collect:

• Your name
• Your email address
• Your company or organization, if provided
• The type of help you are seeking
• The information included in your message

If you contact us through email, telephone, or WhatsApp, we may also receive the contact information and message content you choose to provide through that channel.

Please do not include passwords, payment-card details, government identification numbers, health records, or other sensitive information in a general project enquiry unless we have specifically agreed on an appropriate method for receiving it.

3. Information processed automatically

When you visit the website, our hosting, security, and network providers may automatically process limited technical information such as:

• IP address
• Browser and device type
• Requested pages
• Date and time of access
• Referring page
• Security and diagnostic logs

This information may be required to deliver the website, prevent abuse, investigate errors, and maintain security.

4. How we use information

We may use information to:

• Review and respond to enquiries
• Understand the business or technical problem described
• Decide whether Aetarix may be a suitable fit
• Arrange project discussions
• Prepare proposals or agreements when requested

We do not use the Contact form to subscribe visitors to a newsletter or unrelated marketing list.

The public website does not collect payment-card or billing information.

5. Contact-form processing

When you submit the Contact form, the information is sent to:

• Aetarix's CRM, which uses Supabase for database services
• Aetarix's monitored email channel through Web3Forms

These services process information on Aetarix's behalf to store the enquiry and deliver it to our email inbox. Their infrastructure and processing locations may be outside your country.

The service providers apply their own privacy, security, and retention practices. Their policies may change independently of this Privacy Policy.

6. Other service providers

We may use service providers for:

• Website hosting and content delivery
• Database and CRM functionality
• Contact-form and email delivery
• Website security and abuse prevention
• Error monitoring and technical maintenance

We provide or allow access only to information reasonably required for the relevant service.

We do not sell or rent personal information.

We may disclose information when reasonably necessary to:

• Comply with applicable law
• Respond to a lawful request
• Protect the website or users
• Investigate abuse
• Establish and defend legal rights

7. Cookies and Website Analytics

The website may use essential technical storage required for security, functionality and remembering a visitor’s privacy choices.

Aetarix uses Cloudflare Web Analytics to understand aggregated website traffic and technical performance. Cloudflare describes this service as operating without cookies or local storage.

Aetarix also uses Google Analytics 4 as an optional analytics service to understand how visitors use the website and to improve its content, navigation and performance.

Google Analytics remains disabled unless you select “Accept analytics” through our privacy choices banner. If you select “Reject non-essential,” Google Analytics will not be intentionally loaded and Aetarix will not intentionally place Google Analytics cookies.

When analytics is accepted, we may process information such as:

• pages visited and navigation between pages;
• general session and interaction information;
• browser, device and operating-system categories;
• referring website or approved campaign information;
• interactions with selected Services, Work, Insights and project-enquiry links;
• clicks on company-level email, telephone and WhatsApp links; and
• successful project-enquiry submission as an analytics event.

We do not intentionally send Contact-form field content to Google Analytics. This includes your name, email address, company name, telephone number and enquiry message.

Google Analytics may use first-party identifiers and cookies to distinguish visitors and sessions. Google processes analytics information under its applicable terms and privacy documentation.

Aetarix does not currently use Google Analytics for advertising personalization, remarketing, Google Signals or cross-domain tracking.

8. AI chatbot

The public website does not currently provide an AI chatbot. Information submitted through the Contact form is not sent to a website chatbot.

If an AI chatbot is introduced in the future, this policy will be updated to explain the provider, information processed, purpose, retention, and relevant user choices.

9. Retention

Aetarix keeps enquiry information while it remains relevant to the enquiry, potential business relationship, project discussion, or related record-keeping needs.

Records are periodically reviewed and may be deleted when they are no longer reasonably required. Some information may be retained longer when necessary to maintain business records, resolve disputes, prevent abuse, or meet applicable legal obligations.

Third-party providers may retain information according to their own service terms, backup practices, and retention schedules.

You may request deletion of your enquiry information by contacting [email protected].

We may need to retain limited information when required for legitimate record-keeping, security, or legal reasons.

10. Security

Aetarix takes reasonable technical and organizational steps appropriate to the website and the information being processed. These may include:

• Access restrictions
• Secure connections
• Service-provider controls
• Measures intended to reduce spam or unauthorized access

No website, transmission method, or storage system can be guaranteed to be completely secure. We therefore cannot promise absolute security.

11. Your choices and requests

Depending on the circumstances and applicable law, you may ask us to:

• Provide access to information you submitted
• Correct inaccurate information
• Delete information
• Stop or restrict certain uses
• Withdraw consent where processing depends on consent

12. Children's privacy

The Aetarix website and services are intended for business and professional enquiries. They are not directed to children, and we do not knowingly seek personal information from children through the Contact form.

If you believe a child has submitted personal information, contact us so we can review and, where appropriate, delete it.

13. External websites and communication services

The website may link to third-party services such as LinkedIn, GitHub, and WhatsApp.

When you follow an external link or contact us through another service, that provider's privacy policy and terms apply to its processing.

Aetarix is not responsible for the privacy practices of external websites or services.

14. Changes to this policy

We may update this Privacy Policy when the website, service providers, or data-handling practices change.

When we make a material update, we will revise the "Last updated" date.

Changes apply from the date the updated policy is published, unless another date is stated.
